How to record actual visit times on a job sheet

Before you start

Open the job sheet from Job Sheets or Schedule. All workspace members can view and edit the Actual visit section on the Job tab.

Steps

  1. Open the job sheet and go to the Job tab.

  1. Scroll to Actual visit (below the planned schedule).
  2. Enter Actual start and Actual finish in UK local date and time, or tap Start job / Mark done to set times automatically when you change status (only when those fields are not required first).

  1. Optionally fill Hours on site and Work carried out and materials for a short record of what happened on site.
  2. Leave the field or pause. A green tick appears on that row when it has saved. There is no Save visit details button.

Require logs before Done

The workspace admin can set Require visit logs to Yes under WorkspaceVisit logs (off by default), then tick which fields are required. Turning it on pre-selects Actual start and Actual finish. Those fields are labelled Required. If you try Mark done while they are empty, JobSheet shows an error on Actual visit and highlights the empty fields. If the required fields are filled but still saving, Mark done waits for that save. JobSheet will not stamp finish for you when Actual finish is required.

Actual visit vs comments

  • Actual visit is structured: times, hours, work, and materials in one place for the whole team.
  • Comments are for conversation, @mentions, and reminders. Use comments when you need to notify a colleague.

Print

The job printout includes an Actual visit section by default (start, finish, hours, work and materials). Empty fields print as blank lines. Turn the section off under Workspace → Templates (Preview as Job sheet) if you do not want it. See Print a job sheet with a QR code.

Tips

  • Planned Job date and time on the Office tab is what you booked; Actual visit is what really happened.
  • If you mark the job Done without entering a finish time, and Actual finish is not required, JobSheet can stamp Actual finish for you.
