Electronic job sheet software vs paper

Electronic job sheet software replaces the carbon pad. The visit still has a title, a site, a person assigned, and a place for what was done. The difference is that job sheets online update the office when the engineer marks Done, and photos sit on the job instead of a personal camera roll.

You can still print a van copy with a QR code. The source of truth is the online record.

Digital job sheets software in JobSheet

In JobSheet, each piece of work is a job sheet: one visit, one install, one repair, or one stage of a larger project. Job sheets live in the Job Sheets area and on each customer profile.

Job sheet management system: tabs and fields

Each job sheet opens with Overview, Office, and Job tabs. Overview is the summary. Office holds quotes, invoices, and the works-order workflow. Job is for site work, comments, and Files. JobSheet remembers which tab you were on when you refresh or reopen the link.

What you can set on each job sheet:

  • Title — how the job appears in lists and on the schedule
  • Description — scope, access notes, or what was agreed on the phone
  • StatusOpen, In progress, Done, Finished, or Cancelled. Field staff mark Done when they leave site. Office staff mark Finished after they have checked the sheet. Invoicing is a separate office step.
  • Assigned to — tick one or more workspace team members (required). Equal assignees all see the job on dashboard, schedule (Mine), and the iPhone widget, and receive assignment pushes
  • Scheduled start and end — optional UK local date/time; used on the Work Schedule and calendar feed
  • Site address — use the customer address or enter a custom site address when the job is somewhere else (postcode required for custom entries)
  • Actual visit — on the Job tab, record actual start and finish, hours on site, work done, and materials used (separate from team comments). Those fields save as you go: Saving then Saved appears on the row you changed. See Record actual visit times.

Creating and updating work

Create a job sheet from the Job Sheets tab or from a customer profile. Open a row to see the full detail view, update status after the visit, and add notes or attachments without starting a new record. Use Duplicate on the job header when next week’s visit matches an old one but is not a repeating series. See Duplicate a job sheet.

When a quote is confirmed in JobSheet, the app creates a linked job sheet automatically and copies quote comments and your reference so quoted work carries straight into scheduling.

Recurring visits and stage filters

For regular work (for example a cleaner every Monday and Friday until an end date), turn on Repeat when you create or schedule a job sheet. JobSheet materialises one job sheet per visit on Work Schedule, each with its own status, notes, and photos. See Create recurring job sheets.

The Job Sheets list includes a Stage filter for works orders and active jobs: needs scheduling, awaiting reply, paperwork, ready to send, and more. See Filter job sheets by stage.

Print a van-friendly copy from Print / PDF on the job header (every role, including field staff). The workspace admin chooses which sections appear, including Actual visit (on by default), optional footer text, and whether a QR code links back to the job in the app. If the site address is the same as the customer address, Site is left off the printout.

Service job sheet software and the job sheet system

Service job sheet software is the same product for call-outs and planned installs. A boiler service, a consumer-unit upgrade, and a leak visit are all job sheets. The job sheet system is the list, the filters, the schedule, and the path to invoice, not a single form.

What that system has to do in a small UK trade firm:

  • Show the office which visits are still Open or In progress
  • Show each engineer only the sheets they are assigned to
  • Keep notes, photos, and actual visit times on that sheet
  • Let the office raise an invoice from the same customer without retyping the job

If you only needed a pad, a Word template would do. The management system is for the second person who needs the same facts.

A typical week for a two to ten person UK trade team: the office raises a job from an accepted quote, assigns it, and puts it on the work schedule. The engineer opens that service job sheet on the phone, adds what they found, and marks Done. The office checks the sheet, marks Finished, and invoices. Nobody retypes the customer name. That is job sheets online as a system, not a file you email around.

Onsite job sheet: mark done, then finished

Engineers open the assigned onsite job sheet from Job Sheets or Schedule, read the description and site address, add notes or photos, and choose Mark done when the visit is done. The office sees the same status on desktop, then marks Finished after they have checked the sheet.

The workspace admin can require visit logs before Done under WorkspaceVisit logs, and choose which Actual visit fields are required. Those fields are labelled Required; if you try Mark done while they are empty, JobSheet shows an error and highlights them. See Mark a job done on site and Mark a job finished in the office.

Files and notes stay on the sheet

Digital job sheets only beat paper if the evidence lives on the same record. On the Job tab you add team comments and upload site photos or PDFs. Those files stay with the customer and the job, so the office does not hunt a WhatsApp chat for a serial number.

Field staff can add notes and photos. They do not raise invoices. That split is the point of a job sheet management system for a two-person team as much as a ten-person one.

Job sheet software vs job sheet templates
