How to mark a job done on site in JobSheet
Steps
- On your phone, open JobSheet from your home screen or browser.
- Go to Job Sheets or Schedule and open today’s visit.
- Set status to In progress when you start if it is still Open.
- Add any notes or photos while you are on site.
- Choose Mark done (or set status to Done) when the work on site is done.
- On the Job tab, fill Actual visit (start, finish, hours, work done, materials) if you use those fields.
- Pause after the last field. Each row saves on its own and shows a green Saved tick. There is no Save visit details button. The office sees the update as soon as you have signal.
Done means the visit is over. It is not the same as invoiced, and it is not the same as Finished. Office staff mark Finished after they have checked the sheet. See Mark a job finished in the office.
Require visit logs (workspace)
The workspace admin can turn this on under Workspace → Visit logs: set Require visit logs to Yes, then tick which Actual visit fields staff must fill before Mark done. Turning it on pre-selects Actual start and Actual finish. Tick Hours on site or Work carried out and materials if you want those too. Required fields are labelled Required, with a short note on Actual visit. If you try Mark done or set status to Done while they are empty, JobSheet shows an error next to Mark done and on Actual visit, highlights the empty fields, and takes you there. If the required fields are filled but not saved, Mark done saves them first. The setting is off by default.
Why it matters
Invoices from quotes require the linked job sheet to be Done (or Finished). Reports count Open vs Jobs done from these statuses.
Tips
- Installed PWA: use the refresh control in the top bar if data looks stale after reconnecting.
- Limited offline: after an online sign-in, the installed app caches schedule and job sheets. You can browse that data and queue job notes when signal is poor. Mark done, changing status, and uploading photos still need a connection to save.
- On Diary, Dashboard today, and Team week, Done and Finished jobs stay on the board. Team week shows them in grey. Print from the job header or open the job from Job Sheets.
