Week view on Work Schedule

The Work Schedule tab shows a Mon–Sun timeline for the selected week. On a computer, change week with ‹ › around the date range. This week appears when you are not on the current week. On a phone the buttons say Previous and Next. On the current week in Diary, days from today appear first so you are not scrolling back to Monday to see what is due now.

Each scheduled job sheet appears on the day of its scheduled start. Jobs without a schedule use created time for calendar export. Note reminders with a reminder date also appear on the timeline and link back to the customer or job sheet.

Recurring job sheets (repeat visits) appear like any other scheduled job: one card per visit on the correct day. Create the pattern from New job sheet with Repeat turned on. See Create recurring job sheets.

Cards show Open, In progress, Done, Finished, or Cancelled. Cancelled jobs leave the board. Done and Finished jobs stay on it. On Team week those chips are grey.

Desktop planner: Diary and Team week

On wide screens (about 901px and above), the schedule header keeps Diary and Team week on the top right and the week date in the centre.

Diary is the usual day × colleague planner. Each row is a day; each column is a team member you add from the schedule header. Job cards sit in the cell for that person and day. You can drag cards between days and colleagues, and use Print or Duplicate on the card.

Team week shows days across the top (Mon 17) and colleagues as rows in A–Z order. The header dropdown is All staff by default. Field staff shows only field rows. Hide empty rows drops people with no jobs this week. An Unassigned row appears when a visit has a date but nobody assigned. Chips show time and customer (or site), then the job title. Open and In progress visits have a colour stripe. Done and Finished visits stay on the board in grey. Click a chip to open the job. Hover or focus for status, assignees, and site. Empty cells have a quiet +. More than four jobs in a cell show +N more. Drag still works. Print and Duplicate are on the job header, not the chip. Phones and narrow windows stay on the usual diary. See Use Team week on the Work Schedule.

Dashboard for today

Dashboard is the home for today: a timeline of job sheets and note reminders for the signed-in user, with a link through to the full Work Schedule when you need the whole week. See Use the Dashboard.

Mine vs everyone

Filter the schedule to job sheets assigned to me (including when you are one of several assignees on the same job) or switch to everyone to see the whole workspace run. The same scope applies when you generate a calendar subscribe link.

Calendar sync (ICS)

A short Calendar sync row at the bottom of Work Schedule opens a subscribe link to paste into Apple Calendar, Outlook, or Google Calendar. Your calendar app refreshes the feed periodically (often about once an hour).

Treat the link like a password: anyone with it can read those job sheets in their calendar until it expires (about 90 days) or you lose workspace access. Cancelled jobs are not in the feed. Done and Finished visits stay in it.
